2018 Science Exchange Venue and Accommodation

The 2018 Plant Biosecurity CRC National Science Exchange (SX18) will be held at the RACV City Club in Melbourne from 11.00am on Tuesday 29 May to 5.00pm on Thursday 31 May 2018.

The RACV City Club is in the heart of Melbourne’s CBD at 501 Bourke Street, and has a range of dining venues and entertainment options, including bistro, coffee lounge, wine bar, billiards room, gym, swimming pool and spa, as well as flexible conference and meeting facilities.

How to book your SX accommodation

Eligible delegates can book their accommodation via the SX registration system.

Block bookings at special conference discount rates have been set aside for delegates, ranging from $219 - $250 per night, at RACV City Club, Mantra on Little Bourke and Treasury on Collins. These hotels should be booked via the SX18 registration system. There are other accommodation options also nearby, at a range of price points.

If you are booking via the SX18 system you will need to use a credit card to secure your booking when you register for the SX. The credit card will not be charged until you check out after the SX, however if your employer is paying for your accommodation please ensure they are aware of this arrangement prior to registering.

Who pays for accommodation?

PBCRC covers accommodation costs for PBCRC staff and Board members. PBCRC is able to reimburse eligible PBCRC researchers, Participant representatives, Advisory Panel members, End-user Advocates and invited guests for accommodation costs, up to a maximum of AUD$750, if delegates stay for the full SX (three nights). PBCRC SX18 invitations will set out if you are eligible for this support.

 

  • Reimbursement will be on receipt of a paid accommodation invoice, for the term of the full SX, e.g. the nights of 29, 30 and 31 May 2018 only.
  • Invoices MUST be received by finance@pbcrc.com.au by cob 15 June, 2018.
  • Invoices may include breakfast, if included as part of an accommodation booking.
  • Reimbursement cannot be for more than the cost of accommodation/breakfast.
  • Accommodation for less than three nights, or for different dates to those mentioned above, will not qualify for reimbursement.

Cancellation Policy

Please check accommodation terms and conditions when you register for the SX, especially your hotel’s cancellation policy. Cancelling bookings less than 30 days from the SX will almost certainly incur a fee; ‘no-shows’ (including delegates checking in later than the advised check in date) will incur charges for all accommodation booked.
